Resident/Fellow Travel Reimbursement Fund Criteria
It is recognized that during the course of postgraduate training, residents and fellows benefit from participating in conferences and meetings which allow them to better achieve their academic mission and individual career goals. Participation at such meetings often involves travel. All postgraduate training programs have some resources available to support resident/fellow travel; however, these funds may often be inadequate to support the total costs associated with resident/fellow travel and not provide opportunities for residents/fellows to pursue non-medical expert roles. The Resident/Fellow Travel Reimbursement Fund has been developed by the Postgraduate Medical Education Office to partially supplement travel expenses.
**Expenses reimbursed by the home department/program are not eligible to be submitted again for reimbursement**
Reimbursement
Annual reimbursements of up to $23,000 will be distributed amongst eligible applicants. **Must be a current resident/fellow at award submission deadline(s).
Consideration will be given to residents who have travelled to contribute to a meeting (eg. Poster presentation, podium presentation, plenary speaker, etc…)
Applications to fund electives or specialty specific courses will not be considered.
Application
Applications will be considered upon completion of conference/meeting. If the conference/meeting occurs after the application deadline, the resident/fellow must wait for the next application period to apply.
All applications must be saved as a SINGLE .PDF and emailed to: Postgraduate.medicine@schulich.uwo.ca
Applications must include a cover page outline of the travel using the following headings:
- Objectives of attending the meeting/conference. Please indicate the type of application being submitted: oral podium presentation, oral poster presentation, poster presentation, other
- Dates and location of conference or meeting
- Expected benefits and relevance to program training and/or career aspirations
- Budget detailing costs (e.g. registration fee, flights, accommodation, etc.).
Please include the following showing date and proof of payment (**must say somewhere on the receipt “paid with credit card ending in...”:
- Registration Fee receipt – include with this a screen shot of the conference webpage showing dates and location of conference.
- Accommodation receipt – if more than one guest, names of guests need to be written on the receipt
- Flight/train receipt – ticket number needs to be visible
Expenses eligible for reimbursement are:
- Registration Fees
- Accommodation Expenses
- Travel Expenses
- Parking Fees and Cab Fare
- Costs associated with abstract submissions and poster printing
***Meals will not be reimbursed***
The application must also include:
- A Program Director Recommendation Form to be completed by the Residency Program Director (can also be completed by the Program Administrator). A copy of your abstract or meeting presentation with documentation of acceptance and a website address.
- A Certificate of Attendance OR a picture of your name badge from the conference.
The conference or meeting must have occurred within 12 months of the application deadline to be eligible for the award.

**Applicants are eligible to apply for and receive a reimbursement once per academic year**
