Elentra ME System Implementation Update

This project communication update is provided to the key project stakeholders to keep everyone up to date on the current status of the project. Key milestones are described below, with a brief explanation of what has been accomplished.

Overall Project Status

The Elentra Implementation project is on track to Go Live for the 2018 Cohort on July 1. There is still a fair amount of work to be completed before launch, and at the same time, we are confident that we can complete that work and be ready to launch as planned.

Individual Program Updates

 

Medical Oncology

The program for Medical Oncology is created on the Elentra production server and the Elentra training server. The required files have been loaded into Elentra. We are now working with Medical Oncology to build the assessment forms for the first two stages of training, and anticipate having them completed very soon.

Following the building of all evaluation forms, we will enter a test phase, which will allow members to login to Elentra, set up their PIN, add a picture if desired, and test the assessment forms. Surgical Foundations

The program for Surgical Foundations is created on the Elentra production server and the Elentra training server. The required files have been loaded into Elentra. Surgical Foundations is now building their own assessment forms and should be complete very soon.

Following the building of all evaluation forms, we will enter a test phase, which will allow members to login to Elentra, set up their PIN, add a picture if desired, and test the assessment forms. Urology

The program for Urology is created on the Elentra production server and the Elentra training server. The required files have been loaded into Elentra, except for the Contextual Variables, which are almost complete. Once complete, we will be working with Urology to build their assessment forms, and anticipate having the forms for the first two stages of training completed very soon.

Nephrology

The program for Nephrology is created on the Elentra production server and the Elentra training server. The required files have been loaded into Elentra. Nephrology is now building their own assessment forms and the forms for the first two stages of training should be complete very soon.

Emergency Medicine

The program for Emergency Medicine is created on the Elentra production server and the Elentra training server. The required files have been loaded into Elentra. We are now building the assessment forms centrally for Emergency Medicine, and anticipate having the forms for the first two stages of training completed very soon.

Internal Medicine

The program for Internal Medicine has been created in the Elentra training server. We are still working on a couple of configuration files, including the Contextual Variables file and the Milestones file. Once the files are complete and loaded, we will create the program on the production server. We will then transition to the form building process estimated between May 28th and Mid-June.

Training Plan

Training materials and web support tools have been made available for Elentra training, and we have modified them for our specific needs.

In addition to web based learning resources and support materials specific to Faculty, we are now seeking opportunities to conduct 10 -15 minute sessions during the next several weeks within your Program. We will work with your Program Director to demonstrate Elentra to your members.

Topics will include:
• Login, Navigation & Setting their PIN
• Triggering/Completing an Assessment

We would appreciate the opportunity to incorporate Elentra Info Sessions into any of your regularly scheduled meetings including:
• Department, Division, Program Meetings, Grand Rounds, Academic Half Days, & Retreats

PGME Visiting Hospital Sites

For the next month, Sylvia M will be coming to each of the hospital locations to support programs launching with the 2018 cohort to help configure programs and answer questions. Please contact Sylvia if you, your CBME lead, or your program administrator have any questions and would like to set up a time to meet. Sylvia will also be setting up times to meet with these individuals to orient and train them to Elentra’s functionality.

Elentra Portal

We will soon be launching the Elentra Portal, which will be the central location for training material, resources, contacts, links to other relevant websites and so much more. We hope to have this Portal available by June 1.

Elentra Reporting

We are now reviewing the reporting that is available in Elentra. We will have more information about Elentra Reporting in our next project communication.
