Teaching Faculty – EPA Assessment Tools

Elentra is the platform used to complete, manage, and review EPA (Entrustable Professional Activity) assessments. Find step-by-step instructions for logging in, triggering assessments, completing forms, and reviewing learner progress.

EPA Assessment Guide in Elentra

  1. Go to https://elentra.schulich.uwo.ca/
  2. Log in with Western credentials
  3. Click Profile icon → My Profile
  4. Select Account Information tab
  5. Enter a 4-6 digit PIN
  6. Click Save Profile

→ PIN is unique to Elentra and not linked to other systems
→ PIN can be reset after creation using Reset my PIN

  1. Once logged in to Elentra, select Dashboard
  2. Click green button "Trigger Assessment"
  3. Select Resident
  4. Enter Date of Encounter
  5. Choose EPA
  6. Select:
    • Preview Form OR
    • Begin Assessment
  1. Click Evaluation & Assessments (top-right menu)
  2. Select Assessment Tasks
  3. View pending or in-progress assessments
  1. Assessment form will open, Assessor & Resident target will be clearly identified
  2. Review Key Features and Assessment Plan of the EPA
  3. For each contextual variable, choose:
  • Appropriate response
  • Assess the milestones
  • Overall Entrustment score
4. Narrative comments are mandatory

5. Include suggestions for next steps

Narrative Notes allow faculty to document learner progress and attach supporting materials.

  1. Log in to Elentra
  2. Go to Profile → Narratives
  3. Click Add Note
  4. Fill in the mandatory form fields:
  • Resident (required)
  • Program (required)
  • Comment (required)
  • Document upload (optional)

5. Click Submit

→ Notes are a Faculty-only feature. 
→ Residents and the Competence Committee can view Narrative Notes in their Dashboard.
→ Notes can be edited or deleted after submission

Milestone Trends allow faculty members to filter milestone scores based on several filters. 

1. Log in to Elentra
2. Go to Assessment & Evaluation
3. Select My Learners
4. Click ellipses (…) next to learner
5. Select NEW Dashboard
6. Open Trends tab
7. Apply filters
8. View results graph

Filters  include EPAs, CanMEDS roles, milestone levels, and assessment tools.
