Re-appointing Research Roles

What is a Re-appointment?

Assuming there is good employee performance, a re-appointment may be made to extend the duration of the employment contract. All other terms of the contract remain the same (e.g. same department, same role and same rate of pay (unless otherwise adjusted as per the Guidelines for Administration of Contract, Part Time Staff and Summer Student Compensation).

How do I Re-appoint Temporary Part-Time Research Roles?

Re-appointment using a SAN and a new contract letter (log-in required).

How do I Re-appoint Temporary Full-Time Research Roles?

Re-appointment under 8 months in duration, use a SAN and a new contract letter (log-in required).

Re-appointment over 8 months in duration, go through the Request for Hire (RFH) process by initiating a request in SAS. This request must then be approved by the Dean's Office.

Refer to "Appendix A" in the Working at Western training binder. If a research role falls under the parameters for W@W (see Support/Technical category), then it is exempt from posting when it is a re-appointment.

Can I keep Re-appointing the same person?

Essentially yes, as long as the person is not a UWOSA Term employee. UWOSA Term employees may only be eligible for 24 months of employment or 2 contracts (whichever ends first) before the position must end or the position is made RF (Continuing).

A non-union employee becomes a TERM UWOSA employee when they work combined hours of greater than 24 in UWOSA classified roles. Refer to Article 42 of the UWOSA Collective Agreement. Contact Schulich HR if you are unsure.

Can I give an increase to an employee when extending their contract?

Yes, as per the Guidelines for Administration of Contract, Part Time Staff and Summer Student Compensation. Currently, the maximum is 1% annually. Use “HIR – NPS” on the SAN coding. Please add a comment in the SAN to indicate that an increase is being applied.




New Research Roles

How do I Appoint Part-Time or Full-Time New Hires into roles less than 8 months?

All new research opportunities that are part-time or full-time (<=8 months) are to be posted using the Working at Western system.

How do I Appoint Full-Time New Hires into roles more than 8 months?

New full-time (>8 months) research roles must go through the Request for Hire (RFH) process by initiating a request in SAS. This request must then be approved by the Dean's Office.
