Classroom bookings are now managed online using our corporate Novell system. Equipment in the classroom is managed by TTS. Please click here for information on the classrooms.
Room booking procedures for Schulich boardrooms (HSA 101, MSB 105, CSB 3702 and CSB 3706).
All Schulich GroupWise users have read access to view the room schedules for these resources. This access should be used to verify the availability of a boardroom prior to making a booking request. If you are unsure about how to add these rooms to your multi-user calender, please contact the Schulich Helpdesk for assistance. If you are not a Schulich GroupWise user, we will be happy to assist you.
Room bookings may then be requested by emailing room.booking@schulich.uwo.ca
Room bookings sent directly to these room resources will be declined. We will contact you, time permitting, to advise you of this. The exception to this procedure is that personnel located on the third floor of CSB are able to send appointments directly to CSB 3706.
To assist us in selecting the appropriate room for your meeting, and to assist staff charged with supporting these meetings, the following information must be provided in your email. Staff on the 3rd floor of CSB should provide this information in the body of their 3706 bookings. If the information is not provided, we will ask you to provide it before completing the request.

Please note that if you require training on room technology or a flashup of the videoconferencing system, you are responsible for making these arrangements with Teaching and Technology Services. Flashups may be requested here (http://www.schulich.uwo.ca/teachingtechnologyservices/forms/index.php?page=VCRequest).
Please note that all persons requesting boardrooms will be held accountable for cleaning up the room after the meeting. This includes turning off the room technology, resetting the furniture, wiping up spills, removing food waste to hallway trash bins and ensuring that the room is locked afterwards. In many cases, where back to back meetings occur, this will need to be done immediately following the booking. Cleaning supplies will be provided in HSA 101 and MSB 105 for your convenience.
One final note regarding priority for the boardrooms. Circumstances may occasionally arise where a room is needed on short notice to resolve some critical item of business for the School. In this situation, a judgement call will be made by Operations & Administration and if it is determined that meetings must be rearranged, we will make every effort to accommodate your meeting in an alternate location.
Room booking procedures for Schulich classrooms
Schulich classrooms are used primarily for regularly scheduled classes. The process for regular recurring room bookings begins in December of a given calender year. This process occurs in conjunction with the Basic Medical Sciences Undergraduate Education office, the Undergraduate Medical Education office, Dentistry and individual graduate programs. Classes are booked by the Facilities office from January to April for the following academic year. Once regular recurring classes have been booked, the rooms are available for one off bookings and regular recurring meetings. All GroupWise users may send tentative appointments to these resources outside of the above times, using their GroupWise multiuser calender. If you are unsure of how to do this, please contact me for training or the Schulich help desk for assistance. Please provide an appropriate descriptive subject line, without providing too much information, and remember that these bookings are visible on the internet.

Room booking procedures for other Schulich resources
Several other resources exist which have specific booking procedures.
MSB 146/DSB 1002. These large classrooms are equipped with videoconferencing technology to serve the needs of the undergraduate medical education program. Their use for any other purpose than regularly scheduled classes requires the intervention of Schulich Teaching and Technology Services. The only way in which these two rooms can be booked is by emailing the Senior Consultant - Facilities. Due to the cost of replacing damaged equipment (each post microphone costs over $300 installed) and the impact of having the equipment unavailable for distributed medical education, the consumption and serving of food or drink in the room is strongly discouraged.
Valberg Educational Learning Centre (MSB 150, MSB 150A, DSB 4006/7/8). These computer based instructional rooms are booked by completing the form found here (https://www.schulich.uwo.ca/verc/vercbookings/verc-rm-bkg-req). The exception to this is that the Department of Pathology can book directly into DSB 4006/7/8 for their own purposes.
Drimmer Teaching Laboratory MSB 113/117/120. These teaching laboratories are booked through the Basic Medical Sciences Undergraduate Education office.
