NPSE Registration Process

How to Register your Elective

London

Please note you will need to follow these steps each time you work with a new supervisor.


  1. Student arranges NPSE with supervisor. 
  2. Student registers NPSE on Schulich School of Medicine & Dentistry Hub.
  3. All first and second year students will be added to the 2023 NPSE Elentra cohort.  This will provide the student with access to the Acceptance Form in Elentra.  If the student has already registered for a prior NPSE in the 2023 summer term and is registering for a second/later NPSE, they will already have access to the Acceptance Form in Elentra and do not need to wait for UME to update their access.
  4. Student triggers the Acceptance Form in Elentra to their NPSE preceptor (see instructions on how to trigger the form here).
  5. Student can monitor whether or not the preceptor has submitted the Acceptance Form in Elentra by navigating to the Assessment tab of their account in Elentra.  Completed tasks will be listed under "Tasks Completed On Me".  The Acceptance Form must be submitted through Elentra before the elective will be approved by UME.
  6. Western’s Registrar’s Office bills the student ($60.00). Summer research electives are exempt from this fee (this includes SRTP/SROP/SRWORP).
  7. On the final day of the elective, the student triggers the Feedback Form in Elentra to their NPSE preceptor, using the same Elentra process as the Acceptance Form above.
    1. A notation of “SAT”, “INC” or “WDN” is recorded in Elentra and ultimately on the student’s transcript.
      1. Once the NPSE is formally registered with the Registrar’s Office, it will not be removed from a student’s transcript, regardless of the notation received. (Summer research electives are not registered with the Registrar's Office.)
      2. If more than one NPSE is done, a student must receive a “Completed” notation on the Feedback Form from each preceptor in order for “SAT” to be recorded on the transcript.
      3. If the Feedback Form is not received by UME by the stated deadline, a notation of “INC” will be recorded on the transcript. If the Feedback Form is not received within one month of completion of the elective, a “WDN” notation will be recorded on the student’s transcript. This will not be removed.
      4. If the NPSE is cancelled, or does not meet the minimum required clinical hours, the student will inform the UME Office immediately. In this case a “WDN” will be recorded on the transcript.

Windsor

  1. Student completes the Summer Non-Credit Research Elective Application – Windsor Placement
  2. Windsor Campus Office confirms dates and supervisor and communicates information to the student within three (3) weeks of application submission. 
  3. Student must register ALL NPSE on Schulich School of Medicine & Dentistry Hub independently (the Windsor office will NOT do this for you) once the confirmation note from Windsor Campus has been sent to the student. Failure to do so before the stated deadline will result in the student not being able to complete the elective.
  4. All first and second year students will be added to the 2023 NPSE Elentra cohort.  This will provide the student with access to the Acceptance Form in Elentra. If the student has already registered for a prior NPSE in the 2023 summer term and is registering for a second/later NPSE, they will already have access to the Acceptance Form in Elentra and do not need to wait for UME to update their access.
